ACCEPTANCE OF TERMS

By making the first payment or deposit, you, as the client, acknowledge and agree to be bound by these Terms and Conditions. 

SAVING YOUR DATE 

In order to book Lydia Alice for your wedding stationery, a deposit is required to save your date and the relevant design time needed. The initial deposit of £150 is then deductable from your final invoice. This payment must be paid within the payment terms stated on your invoice; if the payment is not received by this date, Lydia Alice reserves the right to release your date to another client. 

CANCELLATIONS AND REFUNDS

In the unforeseen circumstances whereby your wedding is cancelled, any payments made up until this point are non-refundable. You will not be expected to pay any further instalments and all work will be stopped. 

PAYMENT TERMS

All payments are due within 5-7 days of receipt of invoice. To request changes to these terms, please email enquiries@lovefromlydiaalice.com. In most cases, invoices are split into two or three instalments to spread the overall cost. 

​If an invoice payment has not been received by the due date, a daily fee of £5 will be charged until the total payment has been made. Such delays may also result in longer lead times. 

PROOFS & ADJUSTMENTS 

Digital proofs are sent for most items of stationery. Please respond to the specific email chain with any requested changes and once approved, your confirmation that you’re happy to proceed. For each item of stationery, you will have up to three sets of alterations included as standard before you will then be charged by the hour for any further changes. 

It is your responsibility as the client to check through the proofs carefully and thoroughly to ensure all is as you would like it to be; this includes colours, spellings, grammar and all layout. Once you have signed off on your proof, this is then a binding contract of approval. Any further changes requested after sign off, will incur additional charges. If you require changes but your item of stationery has been printed/hand painted/completed, you may be recharged for the entire cost. This will be assessed on a product by product basis.

Proofs are not sent for table name places and hand written envelopes. Once a design has been chosen, it is your responsibility to then supply Lydia Alice with a list ensuring all names and addresses are written correctly and as you would like them.

​QUOTES & DESIGN STYLES

Once you have approved your stationery quote, your first invoice will be sent based on the initial design styles and stationery items agreed. Please notify Lydia Alice of any changes to your chosen design styles as soon as possible, in most cases, materials will have been ordered and design time will have been blocked out. If this is the case, changes to design style and or quantities may not reduce or adjust your final invoice. This will be assessed on a case by case basis.

RELEASE OF STATIONERY 

Lydia Alice reserves the right to hold onto all items of stationery until all payments have been made. 

COPYRIGHT

Lydia Alice retains copyright on all design work and products produced by Lydia Alice. 

POSTAGE & PACKAGING

Before the day stationery will always be packaged appropriately and sent special delivery, in most cases, next day delivery. 

If you’re on the day stationery is being posted to you before your wedding date, this will also be sent by courier. 

You have 24 hours from receipt of your parcels to notify Lydia Alice of any damage/issues with your stationery. Lydia Alice will always endeavour to rectify any damage issues where possible.  

STORAGE OF STATIONERY 

It is your responsibility to ensure that your stationery is stored in a suitable condition. Card stock and boards should be kept in a dry and cool environment. If exposed to damp or very hot conditions, this may affect the overall quality. 

WEDDING SET UP 

A stationery set up service is available to all clients as an optional extra. The cost ranges from £85 - £150 and depends on the stationery list. For venues further than 45 minutes from the studio, an additional 45p per mile is charged. 

Whilst in most cases it will be Lydia setting up your wedding, if due to unforeseen circumstances this is no longer possible, an alternative set up plan will be arranged for you.

PUBLIC LIABILITY 

Lydia Alice has public liability insurance for any damage caused by the stationery or pieces supplied, however, does not accept responsibility for any damage caused on your wedding day such as accidental damage by flames, lit candles and drink or food. 

PHOTOGRAPHY/SOCIAL MEDIA

Lydia Alice retains the right to photograph all items of stationery and post them to social media accounts unless specifically stated otherwise by the client. This must be stated before the first invoice has been paid. As a rule, save the dates and invitations will not be posted in full view until after the wedding date has passed, only as sneak previews or with content/dates blurred. 

ADDITIONAL ITEMS 

It is important that you make Lydia Alice aware of the full list of stationery you require for the initial quote phase so that the relevant design time can be secured. If there are additional items you would like to add to your order further down the line, please notify Lydia Alice as soon as possible. 

PERSONAL INFORMATION 

On initial enquiry we require a certain amount of personal information from you as the clients. This includes an address, email contact and phone number. Lydia Alice will ensure that this information is stored securely and will not sell, rent, lent or disclose this information in any form to any third party other than as may be necessary in order to complete your order. All data held can be deleted upon completion, by request from the client.

ACCEPTANCE OF TERMS

By making the first payment or booking fee, you, as the client, acknowledge and agree to be bound by these Terms and Conditions, together with the scope of work and quotation provided for your project.

The agreed quotation, scope of work and any specific project terms will take precedence where they differ from these general Terms and Conditions.

BOOKING & PROJECT CONFIRMATION

A booking fee or initial payment in most cases will be required to secure your project and the relevant design or production time.

Your project will only be considered confirmed once the required payment has been received and the quotation and scope of work have been accepted.

Payment of the booking fee allows Lydia Alice to allocate time to your project, begin agreed design work and where applicable, purchase materials or make other project preparations.

QUOTES & SCOPE OF WORK

All projects are quoted individually based on the agreed scope of work.

Your quotation will outline the services, deliverables and usage rights included within the project. Any work requested outside of the agreed scope may incur additional charges and will be discussed with you before the additional work is undertaken wherever possible.

For larger or more complex projects, the quotation may include an estimated range rather than a fixed total. Where this is the case, any significant change to the expected cost will be discussed with you before additional work is undertaken.

Changes to the agreed scope, quantities, design direction, materials or application after work has commenced may result in additional charges.

DESIGN PROCESS & APPROVAL

For illustration and branding projects, an agreed creative direction will be developed based on the initial brief.

Depending on the project, this may include sketches, visual references, colour palettes or initial concepts before the final artwork is created.

The number of design concepts and rounds of revisions included will be stated within your individual quotation.

Once artwork has been approved by the client, it will be considered final. Any further alterations requested after approval may incur additional charges.

It is the client's responsibility to carefully check all supplied information, including names, wording, dates, colours, logos and other details, before approving final artwork.

REVISIONS & CHANGES

Your quotation will specify the number of revision rounds included within your project.

A revision round means a considered set of amendments to the agreed design direction. It does not include a complete change of concept or a new creative direction after approval.

Additional revisions or significant changes may be charged at the applicable hourly rate or quoted separately, depending on the project.

MURALS, SIGNAGE & ON-SITE PAINTING

For murals, hand-painted signage and other on-site projects, the quotation will be based on the agreed artwork, scale, surfaces and expected working conditions.

The client is responsible for ensuring that the agreed working area is accessible, safe and ready for painting before the agreed start date.

Where surfaces require additional preparation, repairs, cleaning, sanding, priming or treatment beyond that agreed within the quotation, additional charges may apply.

Where specialist access equipment, scaffolding, lifting equipment or other third-party services are required, these will either be supplied by the client or quoted separately.

WEATHER & SITE CONDITIONS

For exterior painting projects, work is naturally dependent on suitable weather and surface conditions.

Lydia Alice reserves the right to postpone or rearrange on-site work where weather conditions would compromise the quality, safety or longevity of the finished work.

Every effort will be made to reschedule affected work at the earliest reasonable opportunity.

Additional costs caused by prolonged or unforeseen delays, site closures or conditions outside Lydia Alice's control will be discussed with the client where applicable.

MATERIALS & COLOURS

Paints, materials and finishes will be selected based on the requirements of the project and the agreed creative direction.

Where specific colours are requested, Lydia Alice will make reasonable efforts to match the agreed colour references. Colours may appear differently depending on the surface, lighting, surrounding colours and screen settings.

For exterior projects, the client acknowledges that natural weathering, fading and changes to painted surfaces can occur over time.

PAYMENT TERMS

All payments are due within the payment terms stated on the relevant invoice, normally within 5–7 days of receipt.

For larger projects, payments may be divided into stages. The agreed payment schedule will be outlined within the quotation or invoice.

Lydia Alice reserves the right to pause work where an invoice remains unpaid beyond its due date.

Work, final files, physical artwork or completed items may be withheld until outstanding payments have been received.

CANCELLATION & POSTPONEMENT

If the client wishes to cancel or postpone a project after work has commenced, Lydia Alice will be entitled to charge for work completed, materials purchased and other reasonable costs incurred up to the date of cancellation.

Where a project is postponed, Lydia Alice will make reasonable efforts to accommodate a new date, subject to availability.

Any booking fee or advance payment retained following cancellation will reflect work undertaken and costs reasonably incurred as a result of the cancellation.

COPYRIGHT & INTELLECTUAL PROPERTY

Lydia Alice retains copyright and intellectual property rights in all original artwork, illustrations, concepts, sketches and design work created as part of a project unless a separate written agreement states otherwise.

Payment for a project does not automatically transfer copyright ownership to the client.

Copyright ownership can be transferred separately by written agreement where specifically requested and agreed.

LICENCING & USAGE

Unless otherwise agreed, project pricing includes a licence for the client to use the final approved artwork for the specific business purposes and applications outlined in the quotation.

This may include agreed use across websites, social media, printed marketing materials and other specified business communications.

The licence does not automatically include:

  • resale of the artwork or products featuring the artwork
  • sublicensing or transferring artwork to another business
  • use outside the agreed business or brand
  • exclusive ownership or exclusive use
  • large-scale commercial reproduction
  • merchandise or products for resale
  • use by third parties

Extended or exclusive usage can be discussed and quoted separately where required.

The licence applies only once all invoices relating to the project have been paid in full.

THIRD PARTY MATERIALS

Where the client supplies logos, fonts, photographs, illustrations, artwork or other materials for inclusion within a project, the client confirms that they have the necessary rights and permissions for Lydia Alice to use those materials for the agreed project.

Lydia Alice cannot accept responsibility for copyright or licensing issues arising from materials supplied by the client. EXCLUSIVITY

Projects do not include exclusivity unless specifically agreed in writing.

Lydia Alice may continue to use its own artistic style, techniques and general creative approaches for other clients.

If exclusive use of a particular illustration, concept or creative direction is required, this can be discussed and quoted separately.

PHOTOGRAPHY

Lydia Alice retains the right to photograph completed work and use photographs of the project for its portfolio, website, social media and other promotional purposes.

For commercial projects, Lydia Alice will not disclose confidential information or commercially sensitive information without permission.

If a client requires the project to remain confidential or wishes to delay publication until a particular date, this should be discussed before work begins.

CLIENT RESPONSIBILITIES

The client is responsible for providing accurate information, approvals, access and materials required for the project within the agreed time frame.

Delays in receiving information, feedback, approvals or access may affect the project timeline.

Where delays caused by the client result in additional work, storage, travel or rescheduling costs, these may be charged separately.

COMPLETED WORK & CARE

For physical painted work, the client is responsible for caring for and maintaining the finished artwork once the project has been completed.

Lydia Alice will provide reasonable guidance on care and maintenance where appropriate.

Natural wear, fading, weathering, accidental damage or deterioration caused by unsuitable environmental conditions is not considered a defect in the original artwork.

LIABILITY

Lydia Alice will carry out all agreed services with reasonable care and skill.

For on-site work, the client is responsible for ensuring that the site is safe and suitable for the agreed work to take place.
